Privacy Policy
Peak Fundraising Systems is committed to protecting your personal information. This policy explains what we collect, how we use it, and your rights under the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

Definitions
Personal information: information or an opinion about an identified individual, or one who is reasonably identifiable.
Sensitive information: a subset of personal information including health, race, religion, political views, sexual orientation, criminal record, and similar categories.
Anonymity and pseudonymity
Where practicable, you may deal with us anonymously or under a pseudonym. This may not be possible where our contractual obligations or the law requires identification or where we cannot effectively operate without it.
What we collect
We typically collect:
- Contact details (name, email, phone, postal address)
- Donation and Financial details
- Employment information for staff and applicants
- Records of your communications with us
We only collect sensitive information with your consent or where required by law.
How we collect it
We collect personal information directly from you wherever practical — through forms, calls, emails, data capture systems, or our website. We do not collect it from a third party unless contracted to do so and if you have consented or would reasonably expect us to.
If we receive personal information we did not request and could not have collected ourselves, we destroy or de-identify it as soon as practicable, unless it is part of a Commonwealth record or required by law.
How we use and disclose it
We use your personal information for the purpose you gave it to us, and for directly related purposes you would reasonably expect. We do not disclose it to anyone else unless:
- you have consented;
- you would reasonably expect us to;
- it is required or authorised by law;
- it is necessary to lessen a serious threat to life, health, or safety; or
- it is reasonably necessary for law enforcement.
Where we collect personal information on behalf of a client organisation, we disclose it to that organisation for the purpose it was collected.
We do not disclose personal information to overseas recipients.
Direct marketing
We do not use your contact details to market our own services. Where we collect personal information on behalf of a client organisation (for example, when running a fundraising campaign for them), that organisation may contact you for related purposes. You can opt out at any time by contacting us or the client organisation directly, and we will action or pass on your request promptly and at no cost.
How we keep it safe
We protect personal information with password-controlled IT systems, locked storage for paper records, and access restrictions. When information is no longer needed, we delete, de-identify, or destroy it securely.
Keeping it accurate
We take reasonable steps to keep your information accurate, current, and complete. Please tell us if your details change.
Accessing and correcting your information
You can ask to see or correct the personal information we hold about you by contacting the Privacy Officer. We will respond within a reasonable time and at no cost.
If we decline access or refuse a correction, we will explain why in writing and tell you how to seek review (including under the Freedom of Information Act 1982 (Cth) where it applies). If we decline a correction, you may ask us to attach a statement to the record noting the change you sought.
Making a complaint
If you think we have breached the Australian Privacy Principles, contact the Privacy Officer with details of what happened and any supporting documents. We will:

We cannot fully investigate anonymous complaints, but we will note them and act where we can.
Changes to this policy
We may update this policy from time to time. The current version is always available on request from the Privacy Officer.
